2. Align your efforts and partnerships. Your vision is going to help you keep your efforts in check and make it easy to attract the right people to work with. It will weed out the people and brands that aren’t a good fit, and shine a bright light on the ones that are a perfect fit.
3. Guide your decisions and stay on track. Treat your vision like a compass. There are many decisions to be made when planning an event. It can be overwhelming, learning hotel lingo, reviewing contracts from multiple vendors, negotiating needs and so on.
Your vision will be your guiding light as you take a deep breath and sign at the dotted line. Your vision will tell you what items are a “must have” versus a “nice to have.” When you’re feeling a little discouraged, going back to your vision will remind you of why you started this project in the first place.
4. Set expectations. Events involve working with many different groups of people. Each group will have their own needs. For example. speakers will want know how they’ll be promoted, whether or not they can have a call to action at the end of their talk, and what the value is for them and your attendees.
On the other hand, attendees will want to know who will be at the event, what they’re going to learn and how they can leverage this time to be inspired, learn something new, and network to make some key connections.
Either way, your vision will help set the expectations for each core group of people that are participating in your event. In this sense, your vision is the theme of the event – letting people know where to go, what to do, and sometimes why they’re doing it. Believe it or not, people still like and need direction.
5. Build excitement. This is the most fun of all. Your vision will build excitement for your team, your partners and especially your paying attendees. You want to create a vision that is not only compelling for your benefit but big enough that everyone is benefiting in their own unique way. When you can get people excited about your event vision, the more motivated they’ll be to share it with their network. This means more visibility and potential attendees, sponsors and speakers for you!
