How to Navigate Events During a Crisis

Are you wondering how to navigate the uncertainty for your upcoming events during Covid19?

Covid19 has caused a lot of uncertainty for those planning events, and for those in the industry in general. With events of all sizes being cancelled or postponed, venues are having to be flexible in their contracts, and our community is faced with some tough decision making.

Here are 7 tips for navigating the changes for your current and future events during COVID19…

1) Convene with your team. Make wise, informed decisions about what the best action to take is, and how you’re going to disseminate that information efficiently.

2) Consider all your options, possible consequences, and opportunities. Think  about perhaps postponing, going virtual, ways ways you can added value, etc. A full cancellation is not recommended, but if you need to, make it your very last resort.

3) Cooperate. Be sure to cooperate with government recommendations and Center for Disease Control (CDC) protocols. For example, Social Distancing. Stay up to date on the CDC site here.

4) Communicate. Communicate  quickly and efficiently your decision and any updates to your key people involved and associated with your event, including your…
– Attendees
– Speakers
– Venue
– Vendors
– Sponsors

5) Connect with your community. Remain engaged, keep people up to date, be real and transparent. People will understand that changes need to be made and we all need to be flexible.

6) Create a safe space for your community. Create a space for your people to share their thoughts and feelings around the effects COVID19 is having in your industry, around your event, their business and their lives in general. A Facebook group thread is a great way to do this. We need each other more than ever during this time.

7) Celebrate. You’ve done what you can for the time being. Be proud of your efforts and be ready for when everything goes back to our usual normal. Keep learning and make adjustments as needed. Let’s focus on the end result, offering solutions and being creative. Just imagine, in a few months we’ll all be talking about how we were able to get through this tough time together!
